Who we are

Sort Admin is an independent business based in England. We are the controller for the limited personal data described below. Contact us at [email protected].

The Sort Admin app

What you add stays yours. Items, notes, dates, prices and scanned documents are encrypted on your iPhone or iPad before they are saved. The key that unlocks them stays on your own devices and in your iCloud Keychain. We never receive it.

iCloud backup. If you turn on backup, your encrypted items are stored in your own private iCloud database, provided by Apple. They stay encrypted there. We cannot access your iCloud account or anything in it. You can turn backup off in the app’s Settings.

Scanning and date suggestions. When you scan a document, the text is read on your device by Apple’s built-in tools to suggest a renewal or expiry date. Nothing is sent to us or to any other service.

Your home score, totals and savings are worked out on your device from your own items. Only you can see them.

Reminders are scheduled on your device. They never show what is due, only that something needs attention.

No analytics, no tracking, no advertising. The app contains no analytics or advertising tools and does not track you across other apps or websites.

Purchases are handled entirely by Apple. We never see your name, email address or payment details. Apple gives us sales reports that do not identify you. If you share Plus through Family Sharing, Apple handles that too, and family members never see each other’s vaults.

Crash reports. If you have chosen in your device settings to share analytics with app developers, Apple may send us anonymous crash reports. These contain technical information only, never anything from your vault. You can change this in your device’s Privacy settings.

PDF exports are created on your device and handed to the share sheet, with an optional password. Once you share or save a PDF, it is outside Sort Admin’s encryption, and where it goes is up to you.

Your recovery key is shown to you once and never stored by Sort Admin. If you lose it and your devices, we cannot recover your vault for you.

Deleting your data

Deleting an item or a scan removes it from your device and from your iCloud backup.

Deleting everything. In the app, go to Settings, then Delete everything. This removes your vault from your device and from iCloud, along with your PIN, recovery key and settings. It can’t be undone.

Deleting the app on its own leaves your encrypted backup in your iCloud account, so you can restore it later with your recovery key. It stays encrypted and unreadable without your key. To remove it without the app, open Settings on your iPhone, tap your name, then iCloud, then Manage Storage (or Storage), choose Sort Admin and delete its data.

This website and email updates

If you sign up for updates, we collect your email address so we can tell you when Sort Admin launches and send occasional updates. The form is provided by Tally, which stores the address on our behalf. Our legal basis is your consent. Every email has an unsubscribe link, or you can email us to be removed.

The website loads its heading font from Google Fonts, which means Google receives your IP address when you visit. Our web host may keep standard server logs, such as IP addresses and pages requested, for security.

How long we keep it

Email addresses for updates are kept until you unsubscribe, or until 12 months after launch if we have not emailed you in that time. We hold nothing from the app.

Your rights

Under UK data protection law you can ask to see, correct or delete the personal data we hold about you, object to how we use it, or withdraw consent at any time. Email us and we’ll reply within one month. If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

Everything in the app is under your control, and you can delete any of it at any time, as described above.

Children

Sort Admin is made for adults running a household and is not aimed at children.

Changes

If we change how Sort Admin handles data, for example by adding anonymous usage statistics, we’ll update this notice and the app’s App Store privacy label before the change reaches you.
